Job Description:

KEY DUTIES / RESPONSIBILITIES

General:

  • Maintaining an efficient and effective staff database, and set up a workable HR filing and record archiving system to monitor dates relating to probationary periods, performance management, annual leave and sickness absence etc.
  • To assists Director of HR to interpret and implement the relevant guidelines, policies and procedures. Ensure all are applied, and to monitor changes in employment law
  • Ensure all applications or Resumes or candidates are replied, recorded and maintain in a professional way
  • To assist Director of HR to review and to make recommendations to improving the HR functions and team activities.
  • Ensure & follow up with HR Officer that all documentation is completed at commencement of employment for all resort based employees as per the commencement checklist
  • Ensure and follow up with HR Officer that all documents are ready for payroll process
  • To arrange and monitor induction for all team members upon arrival
  • Ensure the implementation of health and safety procedures in place.
  • Ensure that all administration is follow up and completed
  • Reports , work permit / visa and passport
    • Keep Monthly Updated Passport and work permit visa details
    • Check and coordinate with universal for work permit renewal and visa expiring
    • Apply for work permit and visa approval
    • Ensure the Passports and work permit cards are kept safely and follow up the procedure of handling it
    • Submit required monthly and weekly update
    • Send out the monthly Visa / work permit list to Finance
    • Make sure Monthly HR Reports and Staff list is updated and send to all concerns
  • Ensure documentation is completed at commencement of employment for all resort based grade employees as per the commencement checklist
  • Organise and meet staff on arrival
  • To assist in the co-ordination, delivery and review of all training and assessment undertaken by operational trainers.

Administration

  • Maintain personnel files for all property grade staff
  • Maintain staff database
  • Track probation reviews
  • Track performance reviews
  • Order Name tags
  • Arrange Interview for HR Manager and other department heads
  • Assist HR Manager with all HR functions

Terminations (In absence of HR Coordinator)

  • Calculate finals pays for property staff
  • Ensure PTF forms are complete for terminations
  • Follow up on work permit cancellations and flights of necessary.
  • Passport keeping and updating

Accommodation

  • Allocate rooms for new staff
  • Update Room accommodation board
  • Check rooms are clean for new arrivals
  • Follow up on Maintenance requests for rooms
  • Maintain key system for all staff rooms
  • Arrange room inspections as required.

Recognition

  • Send invitation for monthly award by 24th of month.
  • Have nominations out for voting by 5th of month
  • Complete letters, certificates, vouchers, money etc. for winners and nominees
  • Organise reward event by 12th of month
  • Organise monthly birthday cards
  • Organise birthday dinner vouchers and champagne for ABCD staff.

WORKING CONDITIONS:

  • Office Space:
  • Permanent desk at the Kandima Maldives
  • Technological Support (Computer, Landline Phone Connection etc.):
  • To be provided with landline phone connection, computer (with internet access and e-mail)

PERFORMANCE STANDARDS:

  • Specific financial measures of performance:
  • To be agreed at each appraisal
  • Specific non-financial measures of performance:
  • To be agreed on recruitment and at each appraisal.
  • General measures of performance:
  • As a senior member of the department, he/she is required to set the highest standards of performance both within his department and as an example for others outside his department.
  • Frequency of appraisal:
  • Performance to be appraised bi-annually
  • Appraiser:
