HR Executive
Job Description:
OBJECTIVE
To provide support in the various human resource functions, which include recruitment, staffing, training and development, performance monitoring, work permit process, payroll, pension and event coordination. HR Coordinator provides assistance to HR Management and team members.
KEY DUTIES / RESPONSIBILITIES
Recruitment
•Maintain the Careers email and allocate CV to the relevant folder by departments.
•Arrange interviews by request from HRD & HRM
•Compete two reference checks once candidate is shortlisted.
•Make offers as per the guidelines of HRD or HRM
•Follow up on candidates and coordinate with HR Administrator
Work permit process
•Handling new hire work permit application and maintaining Xpat online system.
•Handling work permit renewal process of existing members in 3 months advance manner.
•Cancelling work permit of leavers and make sure ticket deposit refund is applied and deposited to company bank account.
•Maintain work permit master list and make sure all the work permits are up to valid date.
Commencements
•Ensure documentation is completed at commencement of employment for all resort based grade employees as per the commencement checklist
•Make welcome announcement to all new team members once the transfer is confirmed.
•Coordinate with K’town attendant to prepare the welcome basket for the new arrivals
•Meet Team on arrival and do K’twon orientation
•Processing of PTF forms for Fusion & Payroll with all the details.
Payroll
•Handover monthly PTF forms for commencement, termination, change of status and holidays.
•Process any unpaid leave.
•Update the timesheet of HR and get all the signatures.
•File all the department timesheets.
•Arrange advance pay for holiday leave
Attendance
•Check monthly departmental attendance records and clarify discrepancies with HOD before payroll is closed by accounts.
•Ensure payroll PAF’s are completed for annual leaves, sick leaves, emergency leaves and other paid and unpaid leaves (except for off days) and signatures are obtained by HOD and HRD for payroll. Annual leave salary is processed when employee returns from annual leave.
•Update HR database with leave information.
Administration
•Maintain personnel files for all property grade Team
•Maintain Team database (Accommodation) in Fusion
•Track probation reviews from Fusion by every month
•Track performance reviews.
•Coordinate with HR administrator about the passport and Visa Cards.
•Assist Director of HR, Training Manager and Assistant HR manager in all HR functions
Terminations
•Calculate finals pays for property team members
•Arrange resignations accept letter together with clearance form, Exit interview form and get approved by HRD
•Ensure PTF forms are complete for terminations
Accommodation
•Allocate rooms for new Team and book by fusion system
•Check rooms are clean for new arrivals
•Follow up on Maintenance requests for rooms
•Maintain key system for all Team rooms
•Arrange room inspections every month as required
•Advise Director of HR and Assistant HR Manager for any issues
Recognition
•Send invitation for monthly award by 24th of month.
•Have nominations out for voting by 5th of month
•Complete letters, certificates, vouchers, money etc for winners and nominees
•Organise reward event by 12th of mont
•Organise monthly birthday cards
•Organise birthday dinner vouchers and champagne for ABCD Team.
Team Welfare
•Organise monthly calendar of events for team members. Liaise with one department per month for one social event each month.
•Routinely check Team facilities, internet room, Team gym etc for any issues that arise with maintenance cleanliness
•Order consumable items for team village
•Arrange calendar for special Team events, and Public Holidays
•Advise Director of HR of any issues
QUALIFICATION STANDARDS
Education: GCE O' level, completed secondary schooling.
Experience: Minimum 2 year office administration and computer experience.
Others: Mature, confident, assertive, proactive, positive attitude, and respectful. In addition ability to assist all cultures and nationalities in a fair and consistent manner.
